ILLiad is a service provided for the use of current Hampton University students, faculty and staff.
You may use Harvey Library Interlibrary Loan services if:
You are a faculty member, staff member or currently enrolled student at Hampton University (Patrons without Hampton University affiliation may contact a public library in their community to place an ILL request).
The Hampton University Libraries do not own the materials being requested. (If a book is either checked out or missing you must place a hold on the material via the HU WebCat or at the Circulation Desk.)
How long does it take?
Delivery times vary. We expect to receive all materials shipped within Virginia by one week of the date requested from our office. However, as a rule, you should allow approximately two weeks to receive materials as the items may not be supplied by the first library. Items from out-of-state and/or with charges may require more time.
What are my responsibilities?
You are responsible for complying with the conditions of the ILL requests (i.e. costs, due date, copyright compliance and returning materials in the condition in which it was received). If you would like to keep the item longer you should request a renewal three days prior to the duedate. Please note that the lending institution does not have to grant a renewal so you should be prepared to submit another request if necessary.
Penalties and Late Fees
The Harvey Library's borrowing privileges with other institutions are affected when our patrons do not return materials back to us in a responsible manner. In order to insure that the University remains in good standing with our peers the following measures will be taken:
We will communicate with the borrower directly in an effort to retrieve the materials. If our efforts are not successful a written letter will be sent to one of the following offices the Dean of Men or Women or Department Chair.
You are liable for any overdue, lost or damaged item. The amount of that liability is determined by the lending library. In accordance with the National ILL guidelines, the lending institution may impose additional fees to cover the administrative costs of replacing these items. Please note that once this process is initiated it is beyond the control of the Harvey Library.
Because ILL violations affect the whole institution's borrowing privileges, the Harvey Library will take appropriate measures to recover fines and fees assessed against Hampton University patrons.
What type materials may I borrow?
You can request any books or articles from journals that the HUHL does not own. Materials may also be requested if they are designated as "missing" or at the "bindery". In the event that you are unable to locate an item on the shelf, you should go to the Circulation Department to request a search and/or place a hold on the item. The item can be requested from ILL once it has been designated as "missing".
What type of materials may not be available?
The following types of materials are generally not available through Interlibrary Loan.
materials owned by HUHL in any format (Please check our Online Databases, 2nd floor periodical holdings and the HUWebCat for holdings prior to submitting a request.)
audio-visual (The Peabody Collection houses some audio-visuals related to African Americans.)
maps/atlases (Please check our Reference/Government Documents collection for these items.)
whole issues/volumes of journals
software,CD-ROMS and DVD
rare, fragile and special collection books
reference books
Interlibrary Loan Charges
The majority of Interlibrary Loan materials may be obtained at no cost. However, special, medical, out-of-state and foreign libraries often impose fees.
You must record the maximum amount that you are willing to pay for the request. The Interlibrary Loan patron is responsible for all charges associated with the Interlibrary Loan request.
Notification
You will be notified in the manner that you requested when setting up your ILLiad account. You are still responsible for charges associated with materials that are not picked up.
Picking up your Interlibrary Loan request
Interlibrary Loan items are available at the Reference Desk after the patron has been notified that the item has arrived. Please note that you must show your valid Hampton ID when picking up materials. All materials must be returned to the Reference Desk.
Renewals
Renewals should be requested three days prior to the original due date. Upon contacting the ILL Office, a temporary due date will be given while awaiting the approval of the lending library. If the lending institution approves the renewal you will be contacted with an official due date. If the lending institution refuses the renewal request you will be notified that the book needs to be returned within 24 hours. If you feel that you would not be able to meet the 24 hour requirement you should leave the book at the ILL office and await confirmation.
